How to Get Pay Stubs from a Previous Employer
Start with the former employer or its authorized payroll channel. Access periods and request procedures vary, so do not rely on a generic promise that an old login will remain active for a fixed number of months.
Method 1: Check the Online Portal
Use the portal URL that appeared in onboarding documents, earlier employer emails, or an official HR page. Do not enter credentials into a domain found only through an advertisement, unsolicited text, or look-alike search result.
If access still works, download the original PDFs and keep their filenames and metadata intact. If it does not, stop repeated login attempts before the account locks and move to a formal request.
Method 2: Contact HR Directly
If the portal doesn't work:
- Contact the former employer through a verified HR, payroll, store, or corporate channel.
- State the exact pay periods or calendar year needed.
- Give your name, former work location, employee ID if known, and dates of employment.
- Ask which secure identity-verification method and delivery channel the employer uses.
- Keep the request and response. Do not send a full Social Security number or identity document through ordinary email.
Sample Request Email
``` Subject: Request for Pay Stub Copies — [Your Name], Employee ID [XXXX]
Dear HR/Payroll Department,
I previously worked at [Company] from [Start Date] to [End Date]. I am requesting copies of my pay stubs for the period [Date Range].
My details:
- Full name: [Name]
- Former work location: [Location]
- Employee ID, if known: [ID]
- Dates of employment: [Dates]
Please tell me the secure identity-verification process and how I can retrieve the employer-issued copies.
Thank you, [Your Name] [Phone Number] ```
Method 3: Contact Your Payroll Provider
If the employer confirms that it used a third-party provider, open the provider through its official domain or employer-supplied link. The provider may require an employer registration code or may direct the request back to the employer; it does not necessarily have authority to release records on a phone request alone.
Method 4: IRS Wage & Income Transcript
An IRS Wage and Income Transcript can show information reported on Forms W-2, 1099, 1098, and Form 5498 for available years. It is an annual information-return transcript, not a replacement for individual pay-period statements, and current-year information may not yet be complete.
Use the IRS Get Transcript page or the current Form 4506-T instructions. Confirm which transcript type and tax year you need before submitting a request.
Limitation: a transcript shows reported annual information and can contain masked or delayed data. It does not prove when each paycheck was issued.
Method 5: Social Security Statement
The official my Social Security account can show an annual earnings record. That can help identify an earnings discrepancy, but it does not contain pay-period deductions or replace employer statements.
What If Your Employer Won't Cooperate?
Federal and state recordkeeping, wage-statement, personnel-file, and access rules are not identical. Preserve the requests and check the current agency guidance for the state where you worked. The Department of Labor's FLSA recordkeeping fact sheet explains federal employer recordkeeping duties but does not create one nationwide employee-portal access period.
For a wage dispute or time-sensitive legal matter, use the appropriate labor agency or obtain qualified legal advice rather than relying on a generated replacement.
Alternative Proof of Past Income
If you absolutely can't get old pay stubs:
| Alternative | How to Get |
|---|---|
| Bank statements | Download from your bank (shows direct deposits) |
| Filed tax returns | Your retained copies or an IRS transcript request |
| Forms W-2 | Employer reissue, tax-preparation records, or IRS/SSA information |
| Employment verification | The former employer or its authorized verification provider |
Organize Separate Current Income Carefully
For current self-employment, preserve invoices, contracts, bank deposits, accounting reports, Forms 1099, and tax records. A personal pay-record preview can help reconcile genuine figures, but it cannot recreate the former employer's official statement or independently verify current income.
