Start with the former employer's authorized payroll or tax-document process. Employers generally must furnish Form W-2 by January 31 following the tax year, subject to applicable weekend, holiday, and special rules.

1. Check the Employer's Current Delivery Route

Review:

  • the authorized former-employee portal;
  • separation and tax-delivery notices;
  • electronic-delivery elections;
  • the mailing address on file; and
  • current payroll or HR contact instructions.

Do not enter sensitive identity data into a payroll or tax portal found only through an advertisement or unofficial guide.

2. Ask the Employer for a Reissue or Correction

Identify the tax year and whether the form is missing or incorrect. Ask for the secure identity-verification and delivery process before sending personal data.

Do not put a full Social Security number, password, or one-time code in ordinary email.

Only the employer can issue its original or corrected Form W-2/W-2c. A generator cannot create a valid replacement.

The IRS maintains current instructions for a missing or incorrect Form W-2 in Topic 154. It explains when to contact the IRS and what information may be needed.

4. Use Form 4852 Only When Appropriate

Form 4852 can serve as a substitute for Form W-2 or 1099-R in specified situations. Follow the form instructions carefully and use the best available records. Filing with estimates can require later amendment if the employer's form differs.

5. Consider an IRS Transcript

An IRS wage and income transcript can show certain information returns reported for prior years. Recent data may be incomplete, and a transcript does not replace every document a recipient may request.

Review a Received W-2

Check the worker identity, employer identity, wages, Social Security and Medicare boxes, withholding, state/local data, and box indicators. Compare them with employer-issued statements and benefit records, remembering that a final YTD gross figure does not necessarily equal every W-2 wage box.
